Illness / Injury | "Illness/Injury" pertains to a medical condition or accidental injury impacting an individual mentioned in the Booking or a member of their Immediate Family. |

Failure to provide evidence confirming that the affected individual is a member of the Group scheduled to attend the Booking . Instances involving telephone or online consultations. Lack of a physical examination by a Doctor before the Booking date. |

Pre-existing Medical Condition | This refers to a physical or mental health condition that You had at the time of Booking, typically not hindering Your attendance at the Booking. |

In the following circumstances: If Your flight, included in Your Booking, is canceled or rescheduled, and You are entitled to compensation from the airline or another responsible party. If You Were aware of the flight disruption before the Booking date but failed to make reasonable and appropriate alternative travel arrangements. In the event of a financial insolvency of any transport provider. If the purpose or event for which You initially booked Your flight has changed or been canceled. |
Necessary Supporting Documentation | A copy of Your airline ticket and an official cancellation notice from the airline. |
Mechanical Breakdown | This term describes incidents occurring within 24 hours prior to the Booking, including mechanical breakdowns, accidents, fires, or theft of a vehicle intended for Your transportation to the Booking. |

If You did not allocate sufficient time for travel to the Booking. |
Necessary Supporting Documentation |
A copy of the call-out note from a national breakdown recovery service. An incident number or report from the Police or relevant traffic authority. |
Adverse Weather | This refers to Weather conditions for which a Government Agency has issued travel warnings, making it impossible for You to attend the event. |
Non-Refundable Scenarios |
Refunds are not provided in cases of adverse Weather without official Government Agency warnings against travel. |

Home Emergency | This refers to incidents such as burglary, fire, malicious damage, or flood that occur at Your primary private residence within 48 hours immediately before the Booking. |

We do not grant refunds for any Home Emergency unless You can provide the required evidence as detailed below. |
Required Supporting Evidence |
A Police reference number. Evidence demonstrating the submission of a claim to Your home insurance company. For incidents involving fire, please provide a report from the fire service and/or police. |
Theft of Document(s) | This refers to the unauthorized taking of an essential document required for Your Booking, which cannot be replaced before the Booking date. |
Non-Refundable Conditions | Refunds will not be issued if the documents can be replaced in advance of the Booking or on the day, or in cases of lost documents. |
Required Supporting Evidence | A police report or crime number confirming the theft, dated within 24 hours of the theft occurrence (self-declaration not accepted). An email from the Booking agent confirming their inability to replace or reissue the tickets. Relocated for Work |
Relocated for Work | This pertains to a mandatory change of address imposed upon You by Your current employer, of which You Were unaware at the time of Booking. This relocation may be either temporary or permanent and must be to a location that renders attending Your Booking impractical |
Non-Refundable Situations |
Attendance at business meetings or business travel. Temporary work-related relocations that are less than three months in duration. Voluntary relocations or cases where You change employers for a new role. Situations where You are the business owner, a registered Director, or a family member is involved. |
Required Supporting Documentation | A letter from Your current employer confirming the relocation details. Evidence of residence at the new address. |
Redundancy | This refers to an unexpected and compulsory termination of Your employment by Your full-time employer, with whom You have been employed for a minimum of two years. |
Non-Refundable Situations |
When the redundancy was voluntary. In cases where You are dismissed from employment. Situations where You are the business owner, a registered Director, or a family member is involved. |
Required Supporting Documentation |
A letter confirming compulsory redundancy from Your employer. Evidence demonstrating Your continuous employment for over two years. |
Armed Forces & Emergency Services Recall | This denotes Your recall to active duty as a member of the Armed Forces, Reserve Armed Forces, or Emergency Services on the date of the Booking or Your assignment overseas, rendering You unable to attend the Booking. |
Non-Refundable Situations |
You Were aware of or had scheduled work on the Booking date before making the Booking. You made an unsuccessful request for annual leave for the Booking date. |
Required Supporting Evidence | A note from Your Commanding Officer or Line Manager confirming Your call to duty and that it was not part of Your original schedule. |
Jury Service | This refers to a summons for jury service that You Were not aware of when You made the Booking and falls on the same date as Your scheduled Booking. |
Non-Refundable Situations | Any jury service for which You are unable to provide the following evidence. |
Required Supporting Documentation | A copy of the jury service notification letter. |
Court Summons | This refers to a situation where You are called to testify as a witness in a court proceeding on the same day as Your Booking, and You were not aware of this when You made the Booking. |
Non-Refundable Situations | Any legal summons in which You are identified as the defendant in criminal proceedings or when You are the target of criminal legal actions. |
Required Supporting Documentation | A copy of the court summons. |
Changes to Examination Dates | This refers to an unexpected alteration of the examination date that You are already registered for, when it coincides with the day(s) of Your Booking. |
Non-Refundable Conditions | In cases where You previously did not pass the examination and had to retake it. |
Supporting Documentation | A copy of an official notice from the examination body, school, college, or university confirming the date change. |
Unforeseen or Urgent Situations | This pertains to unexpected situations entirely beyond Your control and not Your fault. The decision to grant a refund rest solely with our Customer Experience Team. While We consider these situations, We are not obligated to issue a refund. |
Non-Refundable Situations | Any matter deemed by our Customer Experience Team as not part of the intended list of valid refund reasons. |
Required Supporting Documentation | Any evidence requested by our Customer Experience Team to verify the emergency circumstances. |
Non-attendance of a Booking due to actual or perceived events such as wildfires, volcano eruptions, tsunamis, earthquakes, war, hostilities, civil unrest, imprisonment, repatriation, deportation, exposure to poisonous biological materials or radioactivity, Cyber Incidents, or Cyber Acts. This also includes state property seizure.
Failure to adhere to any legal requirement.
Bookings originating from Cuba, Iran, North Korea, Sudan, or Syria.
Instances where You are subjected to sanctions, prohibitions, or restrictions in accordance with United Nations resolutions or trade and economic sanctions, as well as laws or regulations of the European Union, the United Kingdom, or the United States of America If the period from the original Booking date to the conclusion of the event exceeds 18 months.

We/Us/Our – Refers to the Booking agent with whom You completed Your Booking.
You/Your/Yourself – Denotes an individual who has made a Booking independently or as part of a group with Us.
Provider – Signifies the company or organization responsible for the administration of the Booking .
Armed Forces – Encompasses the Naval Service, Marines, Army, or Air Force.
Attend – Involves participation in, taking part in, using, or being present at an event or service
Booking – Denotes the pre-planned and pre-booked service(s), event(s), flight(s), or ticket(s) that were transacted with Us by You .
Communicable Disease – Refers to any disease capable of being transmitted from an infected person or species to a susceptible host, either directly or indirectly, which has led to quarantines or restrictions on people's movement.
Doctor – Represents a qualified medical practitioner who is registered and licensed with a recognized professional body. Please note that a doctor cannot be You or a member of Your family.
Emergency Services – Encompasses the Police, Fire and Rescue Service, or other Emergency Services.
Immediate family – Includes Your husband, wife, partner, civil partner, parent, child, brother, sister, grandmother, or grandfather, as well as stepfamily members.
